Position Summary

Cambrian College's Applied Research department requires a full-time Secretary beginning July 2020

Duties and Responsibilities

  • Provide administrative support services, as well as initiate and provide project-oriented services to office staff and all client groups
  • Act as support for the Finance Coordinator and Director in relation to student's work teams, research leads, Applied Research core staff and outside stakeholders or industry partners.
  • Perform a variety of complex duties involving comprehension of project deliverables and assistance with project coordination.
  • Report regularly to the Coordinator regarding progress on projects and activities.
  • Coordinate administrative services for the Applied Research Department and project teams including: payroll, booking meetings, ordering of materials for research projects, reconciliation of P-cards and travel booking for the Applied Research staff, tracking of in-kind contributions by industry partners and maintenance and organization of project documents (contracts, invoices, timesheets, etc.).
  • Provide support to the delivery of projects within Applied Research
  • Compose, format and prepare all forms of correspondence both confidential and general including memos, reports, agendas, project meeting minutes, progress charts, research information and special projects.
  • Respond to and answering queries from clients, students, faculty, other College employees, industry partners, funders and the general public.
  • Compile monthly financial reports for all research projects, and assist with gathering information and preparation of financial reporting to the funding agencies.

Qualifications

  • Two-year postsecondary diploma, preferably within the area of Business or Administrative Assistant.
  • Three years of experience in a dynamic business office setting, in which there are competing deadlines.
  • Must have proven ability to be a self-starter and be able to function effectively while balancing multiple tasks simultaneously with frequent interruptions.
  • Must have demonstrated ability to work independently with little supervision or instruction.
  • Must have demonstrated time management skills and the ability to set out priorities.
  • Excellent research and analytical skills, tact, and judgment.
  • Excellent interpersonal skills and customer service.
  • Collaborative professional who promotes team work and works cohesively within a team-oriented environment.
  • Proficiency in Microsoft Office software (Word, Excel, and Outlook).
  • Strong proficiency with spreadsheet management software and word processing, as well as demonstrated skills in accessing and effectively using the Internet and electronic file management.

Required Information

  • Experience working within a postsecondary environment.
  • Knowledge of accounting.
